Automatic Routing

Routing in TripDirect allows you to automate your work flow process for new requests. It tells the system where to send new trip requests for approval and/or activation. There are different options for setting up your automatic routing, so please contact SchoolDude Client Services for guidance on the best option for your organization. Below, see how to set up a common Location based route that goes to a Site Administrator for approval first before going to an Administrator for final activation.

How to Set Up Approval Routing

  • Click on the Account Setup tab.
  • Click on Setup Trip Request Status Routes.
  • Scroll down to the Add New section and select Submitted in the Status drop down box.
  • Choose the name of the Location in the Location drop down box.
  • Select "On Any" in the Organization drop down box.
  • Under When Route To - Route To Next, leave the top drop down box as "No One". In the bottom box, choose the name of the person responsible for the approval of the trip request for this location.
  • Click the Add New button to save. This route now moves up to the list of routes at the top of the page. *Note: In the example pictured below, this route instructs the system to send any request submitted for ABC High School to Sam Clark for approval.

 

 

  • Go back to the empty route in the Add New section and select Approved for the status.
  • Select the same Location again in the Location drop down box.
  • Select "On Any" in the Organization drop down box.
  • Under When Route To - Route To Next, select the name of the first person in the approval process in the top box. In the bottom box, choose the name of the person to whom the trip request should be sent after the first approval.
  • Click the Add New button to save. *Note: In the example pictured below, this route instructs the system to send a trip request for ABC High School to Jane Jones after it has been approved by Sam Clark.
